Frequently Asked Questions

Is this suitable for registered charities?

Yes! The tracker follows standard charity accounting principles with proper fund tracking and categories that align with Charity Commission reporting requirements.

What's the difference between this and the SME Cashflow Toolkit?

The Charity Spend Tracker is designed specifically for charities with Restricted/Unrestricted fund tracking, Budget vs Actual comparison, and trustee reporting. The SME Toolkit focuses on cashflow forecasting and scenario modelling for commercial businesses.

Can our volunteer treasurer use this?

Absolutely. It's designed for non-accountants. All formulas are pre-built — just enter income and expenses in the yellow cells. The quick start guide explains everything including fund types.

Will this work for our end-of-year accounts?

The Report tab generates a Statement of Financial Activities (SOFA) format that matches what most small charities need. You can share this with your independent examiner or accountant.

How do I track multiple grants?

Each income entry has a Reference field and Notes field. Record each grant as a separate line with its reference number. Mark it as Restricted if the grant has conditions, or Unrestricted if it's general funding.

What if we don't have restricted funds?

That's fine! Simply mark all your income and expenses as Unrestricted. The tracker will work perfectly for unrestricted-only charities while giving you the option to add restricted funds later.
